Since the introduction of ASAP v11.8, the Dataforce documentation on this topic has not been updated to represent all applicable changes. Please refer to this supplementary document — in tandem with the ASAP documentation linked above — to cover all fundamental aspects of adding an agent in ASAP.

 

Agent Email and Email Templates

To speed up the on-boarding process for new Agents, you can now override settings on existing email configurations without creating a new Email Type. Fields such as sender email, sender name, send on trigger, subject and others can be overridden in the Agent Settings.

To locate the Custom Emails screen:

  1. Open the Agents Register.
  2. Select the Agent you wish to modify and either double click or use the  Edit Agent button.
  3. Click on the tab Email Settings.
  4. Tick the checkbox on the right of the setting you wish to edit and change the setting as needed..
  5. Click the Save Email Preferences button.

Custom email templates can now also be edited for any given agent. These templates will replace the existing default email templates. Custom Images can also be uploaded and included in these templates.

To find this new screen:

  1. Open the Agents Register.
  2. Select the agent you wish to modify and either double click or use the Edit Agent button.
  3. Look for a tab called Email Templates.
  4. Select the email from the template dropdown.
  5. When finished click the Save Email Template button.

 

Agent Product Access Rules

An Agent's individual product access has been moved from the Agent Details tab into the Products tab in the Agent profile.

NOTE: You can still control product access via the agent groups or from the product details tab in the product register

To add a product for this agent using this tab:

  1. Open the Agents Register.
  2. Select the agent you wish to modify and either double click or use the Edit Agent button.
  3. Select the Products tab after the agents details tab in the menu bar.
  4. Find the product under the inactive menu and select with left mouse click (multiple can be selected holding down ctrl or shift key).
  5. Click the Activate button to move these selected products in the Active menu.
  6. When finished please click the Save Product Configuration button.

 

Other Changes of Note

 

  • Addition of the Agent Identifier field on the Agent Details tab. If no identifier is specified then the Agent Company Name field will be used by default.
  • Recipient Created Tax Invoice is no longer an option in the menu for the Invoice Method field.
  • Extensive tool-tips are now included if you are unsure about what a particular field relates to.
